Account Coordinator Description
Reports directly to Account Executive: EVP Client Services for HR Matters
The Account Coordinator is the primary liaison between our clients and the Agency. You manage the day-to-day workflow and provide daily administrative support in the execution of the client’s approved Marketing Plan. Extraordinary organizational ability and a positive, upbeat and authentically friendly attitude in a fast paced environment is your superpower. The Account Coordinator is responsible for all account coordination for full-service retainer clients and any other client who may be working with us on a project basis. You will report to your Account Executive.
On the whole, this is a virtual role and you will spend time in Google Meet meetings and briefings, as well as remaining in close contact with assigned clients via email. Text & telephone. Occasional travel is required for client visits, new business presentations, planning and brief taking and trade show participation. Although your commitment will tend to be standard office hours of 8:30am to 5:30pm EST, deadlines or the demands of a client may see you working early or late to ensure continued success.
Core Duties
- Provides administrative & account support to Account Executives.
- Develop and maintain a positive rapport with our clients through an authentically friendly & upbeat attitude, and through collaborative & professional communication. Updates AE regarding client news and issues.
- Daily phone/email interaction with clients, account executives, and other internal team members to move jobs along by obtaining information needed, following up, communicating deadlines, and obtaining creative and budgetary approval.
- Open jobs as they are approved for production. Creates Drive folders and copy docs to support efficient and organized workflow. Sends copy doc links to Account Execs or copywriters.
- Updates Daily Traffic sheet daily and tracks jobs as they progress down the various work stages to completion.
- Works in conjunction with design, media, social, and digital departments of the agency to communicate, develop and implement multi-campaign initiatives.
- Contacts clients monthly for sales and reporting in updates and updates client budgets with monthly sales & reporting in numbers; provides any outside vendor invoices to CFO for commission invoicing and creates notes in the appropriated budget cell.
- Reviews and proofreads all project pieces in collaboration with the Account Executive before client presentation and relays revisions to the design team.
- Provides marketing images from designer lines and client contacts to the creative and digital team as necessary and files them on Drive; organizes and keeps track of vendor Dropbox links.
- Schedules internal and external meetings; provides administrative duties
- Prepares conference call agendas with the assistance of the account lead; captures all meeting agreements and tasks and completes conference reports. Sends draft conference reports to Account Executive for approval and sends approved Conference Reports to the client and appropriate FM team members.
- Assists in creating retailer co-op plans; submits plans to vendors for approval; submits post-run co-op claims & maintains Co-Op Tracking Tab on the approved budget.
- Works closely with account executive, designer, social team, and any associated outside parties such as printers, website teams, and media directors, to clearly communicate creative direction and timelines for promotions, direct mail pieces/TV and radio production.
- Assists account executives in their planning for each client; alerts them to any issues that impact business.
